
The Sales Pipeline Metrics Every SMB Should Track
A sales pipeline full of deals feels productive, but feelings don’t tell you where you’re winning or losing money. A handful of simple metrics do. Here are the ones every small business should track — and what each one reveals.
Conversion rate by stage
The percentage of deals that move from one stage to the next. This is the most useful diagnostic you have: a stage where lots of deals stall or drop out is your biggest leak. Fixing the weakest stage usually does more than chasing more leads.
Win rate
Of the deals that reach a decision, how many do you close? A low win rate points to a qualification or sales-process problem; a high one might mean you can afford to be more aggressive at the top of the funnel.
Average deal size
What a typical closed deal is worth. Knowing this lets you work backward from revenue goals and decide how much you can afford to spend acquiring a customer. It also reveals whether you’re attracting the right kind of buyer.
Sales cycle length
How long deals take to close. A lengthening cycle ties up cash and often signals friction in your process or weak follow-up. Shortening it improves both cash flow and win rate.
Pipeline value and coverage
The total value of open deals, compared to your target. This tells you whether you have enough in the pipeline to hit your goal, or whether you need to generate more leads now to avoid a dry month later.
Lead response time
How fast new leads get contacted. It’s technically a top-of-funnel metric, but it shapes everything downstream — slow response shrinks every number after it. Most businesses are slower here than they realize.
Cost per acquisition
What it costs, all in, to win a customer. Paired with deal size and lifetime value, this is the number that tells you whether your growth is actually profitable.
Track few, act often
Don’t drown in dashboards. Pick the handful of metrics that point to a specific action, review them on a regular rhythm, and use them to fix the weakest link. Measurement only matters if it changes what you do.
